Google Calendar Automations
How to Invite a Customer to a Google Calendar Event When They Buy a WooCommerce Product
Selling a seat in a live class, a webinar or a workshop means getting each buyer onto the event's guest list. Zapify can do that on purchase, using the free A product is purchased trigger and the Add a guest to a Google Calendar event action. Google Calendar is a Zapify PRO integration.
What this automation does
The automation is one trigger plus one action:
- Trigger: A product is purchased (
WC_PRODUCT_PURCHASED, WooCommerce) - Action: Add a guest to a Google Calendar event (
GCAL_ADD_ATTENDEE, Google Calendar)
When the chosen product is bought, Zapify adds the customer's billing email to the event you pick, and Google emails them the invitation. Existing guests stay on the event.
Before you start
- WooCommerce installed and active, with a product that represents the class or webinar.
- The event already on your Google Calendar, in the future. It appears in the action's Event list.
- A Google Calendar connection. See Google Calendar actions for the one-time setup.
PRO feature
Google Calendar is a Zapify PRO integration and needs a Connection under Settings → Connections. The WooCommerce trigger is free.
How to build the automation
Step 1: Connect Google Calendar
Skip this step if you already have a Google Calendar connection.
- Go to Settings → Connections.

- Choose Google Calendar, paste in your Google Client ID and Client secret, click Connect and approve access.

Step 2: Create a new automation
- In the WordPress admin, go to Zapify → Automations.
- Click Add New to open the builder.
- Name it clearly, such as Invite buyers to the workshop.

Step 3: Add the "A product is purchased" trigger
- Click Add Trigger.

- Choose WooCommerce as the app.

- Select A product is purchased.

- In the Product field, choose the workshop or class product.
Step 4: Add the "Add a guest to a Google Calendar event" action
- Click Add Action.

- Choose Google Calendar as the app.

- Select Add a guest to a Google Calendar event.

Step 5: Configure the action
| Field | Required | What to enter |
|---|---|---|
| Connection | Yes | The Google account from Step 1. |
| Calendar | Yes | The calendar the event is on. |
| Event | Yes | Pick the event from the list of upcoming events. |
| Guest email | Yes | Insert the Billing email token. |
| Email the guests | No | Everyone sends the invitation. Nobody adds the guest silently. |
Step 6: Set the steps Live and save
Each trigger and action has its own Live / Off / Draft switch. A new automation starts as a Draft and does nothing until its steps are Live.
- Set the trigger and every action to Live.
- Click Save.

Step 7: Test it
Place a test order using your own email address. Open the event in Google Calendar and check you are on the guest list, or open Zapify → Logs to see the run.
Tokens you can use
The A product is purchased trigger exposes Billing email, Billing first name, Billing last name, Product names, Order number, Order total and more. After the action runs it makes the Event ID available to later actions.
Conclusion
With the free A product is purchased trigger and the Add a guest to a Google Calendar event action, buying a seat puts the customer on the guest list without any copying. Pair it with removing the guest when an order is refunded so the list stays accurate.
FAQs
Is this free in Zapify?
The WooCommerce trigger is free. The Google Calendar action needs an active Zapify PRO licence and a Connection.
What if the same customer buys twice?
They stay on the event once. If they are already a guest, the action reports success and does nothing, so they are not emailed again.
The event is not in the list. Why?
The Event list shows the next 50 upcoming events on the chosen calendar. A past event is left out, and so is one beyond the 50th. You can also insert an Event ID token instead of choosing from the list.
Can the customer's name show on the event?
Google shows the guest by their email address. The name comes from their own Google profile, if they have one.
Do I need to write any code?
No. Everything is configured in the Zapify visual builder.
