How to Create a ClickUp Task When a WooCommerce Order Status Changes
Want your fulfilment or support team to get a ClickUp task the moment an order needs their attention, instead of watching the WooCommerce orders screen? Zapify does this with the free An order changes status trigger and the Create a task action. ClickUp is a Zapify PRO integration.
What this automation does
The automation is one trigger plus one action:
- Trigger: An order changes status (
WC_ORDER_STATUS_CHANGED, WooCommerce) - Action: Create a task (
CLICKUP_CREATE_TASK, ClickUp)
When an order reaches the status you watch for, Zapify creates a task in the ClickUp list you choose, carrying the order's details in the task name and description.
PRO feature
ClickUp is a Zapify PRO integration and needs a Connection under Settings → Connections. The WooCommerce trigger itself is free.
Before you start
- WooCommerce installed and active.
- A ClickUp personal API token, from ClickUp's Settings → Apps page. See ClickUp's authentication docs if you can't find it.
- The List ID of the ClickUp list new tasks should land in — the number in that list's URL in ClickUp.
How to build the automation
Step 1: Connect ClickUp
- Go to Settings → Connections and click Add New.

- Choose ClickUp, paste in your API token, and name the connection something like Fulfilment ClickUp.

- Save.

Step 2: Create a new automation
- In the WordPress admin, go to Zapify → Automations.
- Click Add New to open the builder.
- Name it clearly, such as Create fulfilment task on new order.

Step 3: Add the "An order changes status" trigger
- Click Add Trigger.

- Choose WooCommerce as the app.

- Select An order changes status.

- Set New status to the status that should create a task — for example, Processing. Leave Previous status as Any unless the transition itself matters.

Step 4: Add the "Create a task" action
- Click Add Action.

- Choose ClickUp as the app, and select Create a task.


Step 5: Configure the action

Step 6: Set the steps Live and save
- Set both the trigger and the action to Live.
- Click Save.

Step 7: Test it
Move a test order to the status you configured. Check the ClickUp list for the new task, or open Zapify → Logs to confirm the run and see the HTTP status ClickUp returned.
Tokens you can use
The An order changes status trigger exposes order tokens for the action's Task name and Description fields — Order ID, Order number, Order status, Order total, Currency, Billing email, Billing first/last name, and Order admin link.

FAQs
Is this free in Zapify?
The trigger is free. Create a task is part of the ClickUp PRO integration and needs an active Zapify PRO licence and a Connection.
Where do I find my List ID?
Open the list in ClickUp and copy the number from its URL.
My connection fails with a 401. What's wrong?
ClickUp's personal tokens don't take a "Bearer" prefix — Zapify sends the token exactly as you pasted it, so double-check you copied the whole token from ClickUp's Apps settings without extra characters.
Can I create a task for every order, regardless of status?
Set New status to Any in the trigger, though in practice most teams want a specific status — such as Processing or On hold — rather than every single change.
Can this assign the task to somebody?
Not with this action's current fields — it sets the task's name, description, and priority. Assign it manually in ClickUp, or handle assignment with ClickUp's own automations based on which list the task lands in.
Do I need to write any code?
No. The connection and every field are configured visually — the API token is the only thing you copy from ClickUp.
