The Events Calendar Automations

How to RSVP a Customer to an Event Automatically When They Buy a WooCommerce Product

Some events come bundled with something else: a course, a membership, a book. Making the customer RSVP separately is one more step they can forget. Zapify can reserve their place for them the moment they buy, using the free A product is purchased trigger and the RSVP an attendee to an event action. The Events Calendar is a Zapify PRO integration.

What this automation does

The automation is one trigger plus one action:

  • Trigger: A product is purchased (WC_PRODUCT_PURCHASED, WooCommerce)
  • Action: RSVP an attendee to an event (TEC_RSVP, The Events Calendar)

When a customer buys a product, Zapify RSVPs them to the event you choose and, if you want, sends Event Tickets' own confirmation email. It suits events that come with something else: a course, a membership, a book, a kit.

PRO feature

The RSVP action is part of the Events Calendar PRO integration and needs an active Zapify PRO licence. The A product is purchased trigger is free.

Needs Event Tickets

Attendees, RSVPs, check-ins and ticket orders come from Event Tickets, a separate free plugin from the makers of The Events Calendar. Without it, the action stays greyed out in the Zapify builder and says it requires Event Tickets.

The event needs an RSVP ticket

Zapify RSVPs people through the event's RSVP ticket, so the event must have one. If the RSVP is sold out, the RSVP does not happen and the log says so.

No Connection needed

WooCommerce and The Events Calendar both run on your own site, so there is no API key to paste and nothing to set up under Settings → Connections.

Before you start

  • WooCommerce, The Events Calendar and Event Tickets installed and active.
  • An event with an RSVP ticket added to it.
  • The product whose purchase includes a place at the event.

How to build the automation

Step 1: Create a new automation

  1. In the WordPress admin, go to Zapify → Automations.
  2. Click Add New to open the builder.
  3. Name it clearly, such as RSVP buyers to the launch event.

Create a new automation

Step 2: Add the "A product is purchased" trigger

  1. Click Add Trigger.

Add a trigger

  1. Choose WooCommerce as the app.

Select WooCommerce as the trigger

  1. Select the trigger A product is purchased.

Select A product is purchased

  1. In the Product field, pick the product that includes the event, or leave it on Any to include every product.

The trigger fires when the order reaches a paid status such as Processing or Completed, not while it is still Pending payment.

Step 3: Add the "RSVP an attendee to an event" action

  1. Click Add Action.

Add an action

  1. Choose The Events Calendar as the app.

Step 4: Configure the action

Field Required What it does
Event Yes Pick the event.
RSVP ticket Yes Pick the event's RSVP ticket. Choose the event first; the list then shows that event's RSVP tickets.
Attendee name No Insert the Billing first name and Billing last name tokens. If left empty, the name on the customer's WordPress profile is used.
Attendee email Yes Insert the Billing email token. If a WordPress user has this email, the RSVP is linked to them.
Number of RSVPs No How many places to reserve. Defaults to 1.
Answer No Going (default) or Not going.
Send the confirmation email No On by default. Sends Event Tickets' own RSVP confirmation, which includes the ticket.

Step 5: Set the steps Live and save

Each trigger and action has its own Live / Off / Draft switch. A new automation starts as a Draft and does nothing until its steps are Live.

  1. Set the trigger and every action to Live.
  2. Click Save.

Set the automation live

Step 6: Test it

Place a test order for the product. Open Events → Attendees for the event and look for the new attendee, or open Zapify → Logs to confirm the run.

What the action gives you afterwards

Later steps in the same automation can use these tokens from the RSVP action:

Token What it holds
Attendee ID The new attendee's ID.
RSVP order ID The reference Event Tickets gave this RSVP.

Conclusion

With the free A product is purchased trigger and the RSVP an attendee to an event action, buying a product can reserve a seat with no extra step for the customer. To follow up with a message of your own, see sending an email when someone RSVPs.

FAQs

Is this free in Zapify?

The A product is purchased trigger is free, but the Events Calendar RSVP action is part of the PRO integration and needs an active Zapify PRO licence.

Do I need Event Tickets as well as The Events Calendar?

Yes, for anything to do with attendees, RSVPs, check-ins and ticket orders. The Events Calendar only manages the events themselves; Event Tickets is the free companion plugin that adds tickets and RSVPs. Without it, those triggers and actions show as unavailable in the builder.

What happens if the event is full?

The RSVP is not made and Zapify's log shows Event Tickets' message about stock. Increase the RSVP ticket's capacity, or the customer will need to be handled by hand.

Will the customer get a ticket?

Yes, if Send the confirmation email is ticked. Event Tickets sends its normal RSVP email, which carries the ticket.

Can it reserve more than one place?

Yes. Set Number of RSVPs, or insert a token such as the quantity bought. There is a safety limit of 50 per run.

Do I need to write any code?

No. Everything is configured visually in the Zapify builder.
