BuddyPress Automations
Send an Email When a User Joins a BuddyPress Group
Joining a group is a small moment worth marking. A short welcome with the group's rules and a link back to the group keeps new members engaged, and a heads-up to your moderators means nobody joins unnoticed. Zapify does this automatically with the A user joins a group trigger and the Send an email action.
What this automation does
The automation is one trigger plus one action:
- Trigger: A user joins a group (
BP_GROUP_JOINED, BuddyPress) - Action: Send an email (
WP_SEND_EMAIL, WordPress)
When a member joins the group you choose, Zapify sends the email you wrote with the member's and the group's details filled in.
Zapify counts every way of joining: a member joining a public group, accepting an invitation, having a membership request approved, being added by an admin, or creating a group and becoming its first member.
Before you start
- BuddyPress must be installed and active, with the User Groups component switched on. Zapify's BuddyPress integration is not available on sites running BuddyBoss Platform.
- You need at least one group.
How to build the automation
Step 1: Create a new automation
- In the WordPress admin, go to Zapify → Automations.
- Click Add New to open the builder.
- Name it clearly, such as Welcome members to the Photography group.

Step 2: Add the "A user joins a group" trigger
- Click Add Trigger.
- Choose BuddyPress as the app.
- Select the trigger A user joins a group.
- In the trigger's Group field, pick the group that should start the automation, or leave it on Any group to run for every group.

Creating a group counts as joining it
When a member creates a new group, BuddyPress records them as joining it. If you leave Group on Any group, the automation runs for group creators too. Pick a specific group if you only want to welcome people who join an existing one.
Step 3: Add the "Send an email" action
- Click Add Action.
- Choose WordPress as the app.
- Select Send an email.

Step 4: Write the email
Use the {} token button beside any field to insert details about the member and the group.

| Field | Required | What it does |
|---|---|---|
| To | Yes | Insert the User email token to email the member who joined, or type a fixed address to notify a moderator. |
| Subject | Yes | The subject line. Tokens are allowed. |
| Format | Yes | HTML (default) or Plain text. |
| Body | Yes | The message. Tokens are allowed. |
| Cc / Bcc | No | Extra recipients. |
| From name / From email | No | Override the sender. |
| Reply to | No | Where replies go. |
For example:
- To: the User email token
- Subject:
You're in — welcome to {Group name} - Body:
Hi {First name}, thanks for joining {Group name}. Say hello and introduce yourself here: {Group URL}

Step 5: Set the steps Live and save
- Set both the trigger and the action to Live. A new automation starts as Draft and will not run until its steps are Live.
- Click Save.

Tokens you can use
| Token | What it holds |
|---|---|
| Group ID | The numeric ID of the group. |
| Group name | The name of the group. |
| Group URL | The link to the group's page. |
The member who joined is available as the usual user tokens, such as User email, Display name, First name and Last name. This is the member who joined, even when an admin added them, not the admin.
How to test it
- Join the chosen group with a test member, or add a test member from the group's admin screen.
- Check the recipient's inbox for the email.
- If nothing arrives, open Zapify → Logs to see whether the run fired.
Conclusion
With the A user joins a group trigger and the Send an email action, every group gets a welcome and your moderators stay informed, all on the free plan. Next, give joiners a matching WordPress role with add a role when a user joins a BuddyPress group.
FAQs
Does the email go to the member or to the admin who added them?
To whoever you set in To. With the User email token it goes to the member who joined. The automation always treats the member who joined as the person it runs for, even if an admin did the adding.
Can I run this for only one group?
Yes, and it is free. Set the trigger's Group field to that group instead of Any group.
Is this feature free?
Yes. BuddyPress is a free Zapify integration, and both the A user joins a group trigger and the Send an email action are included in the free plan.
Will it run if I add someone to a group with another automation?
Yes. Adding a member with Zapify's Add a user to a group action counts as that member joining, so this automation runs too.
Why didn't the email send?
First confirm both the trigger and the action are set to Live and the automation is saved. Then check Zapify → Logs. If the run succeeded but no email arrived, the cause is usually the site's mail configuration; an SMTP plugin resolves most delivery problems.
Do I need to write any code?
No. Everything is configured in the Zapify visual builder.
