WP All Import Automations

How to Send an Email When a WP All Import Import Is Completed

Scheduled imports run on their own, so a finished import is easy to miss. Zapify can email you when one completes, with the numbers, using the An import is completed trigger and the Send an email action. Both are free.

What this automation does

The automation is one trigger plus one action:

  • Trigger: An import is completed (WPAI_IMPORT_COMPLETED, WP All Import)
  • Action: Send an email (WP_SEND_EMAIL, WordPress)

When an import finishes, once, whether you started it by hand or a schedule did, Zapify sends one email with the import's name and its final counts.

Before you start

  • WP All Import installed and active, with at least one import saved.
  • A working mail setup so WordPress can send email.

How to build the automation

Step 1: Create a new automation

  1. In the WordPress admin, go to Zapify → Automations.
  2. Click Add New to open the builder.
  3. Name it clearly, such as Email a summary when an import finishes.

Step 4: Configure the email

For example:

  • To: team@example.com
  • Subject: Import finished: {{trigger:IMPORT_NAME}}
  • Body:
{{trigger:IMPORT_NAME}} ({{trigger:FILE_NAME}}) has finished.
Created: {{trigger:CREATED_COUNT}}
Updated: {{trigger:UPDATED_COUNT}}
Skipped: {{trigger:SKIPPED_COUNT}}
Deleted: {{trigger:DELETED_COUNT}}
Started by: {{trigger:TRIGGERED_BY}}

Complete the Send an Email action

Step 5: Set the steps Live and save

Each trigger and action has its own Live / Off / Draft switch. A new automation starts as a Draft and does nothing until its steps are Live.

  1. Set the trigger and every action to Live.
  2. Click Save.

Set the automation live

Step 6: Test it

Run the import from All Import → Manage Imports. When it reports that it is complete, check the inbox, or open Zapify → Logs to confirm the run.

Tokens you can use

Token What it holds
Import ID / Import name Which import finished.
Records created / updated / skipped / deleted The final counts, as WP All Import reports them.
Import type (post type) What the import saves, such as product or post.
Import file name The name of the file or feed the import reads.
Started by (manual or cron) manual for an import run from the admin, cron for a scheduled one. Zapify works this out from whether someone was signed in, so treat it as a good guess.

Conclusion

With the An import is completed trigger and the Send an email action, you hear about every finished import with its numbers. To hear about the ones that go wrong, see sending an email when an import fails, or to post the summary where the team reads it, see posting to Slack when an import is completed.

FAQs

Is this free in Zapify?

Yes. The trigger and the Send an email action are both free.

Does it run once per import or once per record?

Once per import, when it finishes. To react to each record, see adding a Google Sheets row for each imported record.

Does it work for scheduled imports?

Yes. A scheduled import sends the same email, and Started by shows cron. The run has no signed-in user, which is fine for an email to a fixed address.

Why are the counts zero?

The counts are the ones WP All Import keeps for the import. If it skipped everything, for example because nothing in the file changed, they show that.

Do I need to write any code?

No. Everything is configured in the Zapify visual builder.
