Google Calendar Automations

How to Add a Google Calendar Event When a Contact Form 7 Booking Form Is Submitted

A booking or consultation form is only half the job; somebody still has to put the appointment in the calendar and send the invite. Zapify can do both the moment the form is submitted, using the A form is submitted trigger and the Create an event in Google Calendar action. The trigger is free; Google Calendar is Zapify PRO.

What this automation does

The automation is one trigger plus one action:

  • Trigger: A form is submitted (CF7_FORM_SUBMITTED, Contact Form 7)
  • Action: Create an event in Google Calendar (GCAL_CREATE_EVENT, Google Calendar)

When a visitor submits your booking form, Zapify creates an event at the date and time they chose, invites them by email and adds a Google Meet link.

Before you start

  • Contact Form 7 installed and active, with a booking form that has name, email, date and time fields. The examples below use your-name, your-email, preferred-date and preferred-time; use your own field names.
  • A Google Calendar connection. See Google Calendar actions for the one-time setup.

PRO feature

Google Calendar is a Zapify PRO integration and needs a Connection under Settings → Connections. The Contact Form 7 trigger is free.

How to build the automation

Step 1: Connect Google Calendar

Skip this step if you already have a Google Calendar connection.

  1. Go to Settings → Connections.

Open the Connections tab

  1. Choose Google Calendar, paste in your Google Client ID and Client secret, click Connect and approve access.

Select Google Calendar

The full walk-through, including the Google Cloud part, is in Google Calendar actions.

Step 2: Create a new automation

  1. In the WordPress admin, go to Zapify → Automations.
  2. Click Add New to open the builder.
  3. Name it clearly, such as Put bookings on my calendar.

Step 5: Configure the action

Field Required What to enter
Connection Yes The Google account from Step 1.
Calendar Yes The calendar the appointment should go on.
Title No Consultation with {{trigger:your-name}}
Description No Booked through the website. Email: {{trigger:your-email}}
Start Yes {{trigger:preferred-date}} {{trigger:preferred-time}}
Duration (minutes) One of End or Duration 30
Time zone No Leave on Site time zone, or pick the time zone you take appointments in.
Guests No {{trigger:your-email}}
Email the guests No Everyone, so the visitor receives the invitation.
Add a Google Meet link No Tick it for an online appointment.
Pop-up reminder No 15, for a reminder 15 minutes before.

Put a single space between the date and time tokens in Start. A Contact Form 7 date field gives a date like 2016-11-03 and a time field gives something like 10:30, which together make 2016-11-03 10:30.

Step 6: Set the steps Live and save

Each trigger and action has its own Live / Off / Draft switch. A new automation starts as a Draft and does nothing until its steps are Live.

  1. Set the trigger and every action to Live.
  2. Click Save.

Set the automation live

Step 7: Test it

Submit the booking form with your own email address and a future date. Check the calendar for the event and your inbox for the invitation, or open Zapify → Logs to see the run.

Tokens you can use

Once you have chosen a specific form in the trigger, Zapify exposes one token per field on that form, plus Form ID, Form title, Submitted at and All fields. After the action runs it makes Event ID, Event link and Google Meet link available to later actions, so you can, for example, add a Send an email action that confirms the booking and includes the Meet link.

Conclusion

With the free A form is submitted trigger and the Create an event in Google Calendar action, every booking lands on your calendar and the visitor gets an invitation, with no copying between tabs. Add a confirmation email as a second action to include the Meet link yourself.

FAQs

Is this free in Zapify?

The Contact Form 7 trigger is free. The Google Calendar action needs an active Zapify PRO licence and a Connection.

What if the visitor enters a date Google cannot read?

The run fails and Zapify → Logs says which value was not a date. Use a date field in the form rather than free text, so the value is always in the YYYY-MM-DD format.

Which time zone is the appointment in?

The Time zone field, which defaults to your site's time zone under Settings → General. If your visitors are in other time zones, ask them for a time in yours or add a time zone field and pick the zone yourself.

Can I skip the invitation email?

Yes. Set Email the guests to Nobody. The visitor is still added to the event, but Google does not email them.

Will it double-book a slot that is already taken?

No check is made. Zapify does not look at your free and busy times; it adds the event you describe.

Do I need to write any code?

No. Everything is configured in the Zapify visual builder.
