The Events Calendar Automations

How to Add Event Attendees to a MailPoet List When They Register in The Events Calendar

Every event you run is a chance to build your mailing list, but copying names across by hand never happens. Zapify can add each attendee to a MailPoet list the moment they register, using the An attendee registers for an event trigger and the Add a subscriber to lists action. The Events Calendar and MailPoet are Zapify PRO integrations.

What this automation does

The automation is one trigger plus one action:

  • Trigger: An attendee registers for an event (TEC_ATTENDEE_REGISTERED, The Events Calendar)
  • Action: Add a subscriber to lists (MAILPOET_ADD_SUBSCRIBER, MailPoet)

Whenever somebody registers for your event, Zapify adds them to a MailPoet list — creating the subscriber if they are new — so you can write to them about this event and the next one.

Only add people who agreed to hear from you

Registering for an event is not the same as agreeing to a newsletter. Adding people to a list without their consent is how sending domains get reported. Add a clear opt-in tick box to your registration form, and leave Send the confirmation email ticked so MailPoet can ask them to confirm.

PRO feature

The Events Calendar and MailPoet are Zapify PRO integrations. Both the trigger and the action used in this automation need an active Zapify PRO licence.

Needs Event Tickets

Attendees, RSVPs, check-ins and ticket orders come from Event Tickets, a separate free plugin from the makers of The Events Calendar. Without it, the trigger stays greyed out in the Zapify builder and says it requires Event Tickets.

No Connection needed

The Events Calendar and MailPoet both run on your own site, so there is no API key to paste and nothing to set up under Settings → Connections.

Before you start

  • The Events Calendar, Event Tickets and MailPoet installed and active.
  • A MailPoet list to put attendees on, such as Event attendees.

How to build the automation

Step 1: Create a new automation

  1. In the WordPress admin, go to Zapify → Automations.
  2. Click Add New to open the builder.
  3. Name it clearly, such as Add attendees to my newsletter list.

Step 2: Add the "An attendee registers for an event" trigger

  1. Click Add Trigger.

Add a trigger

  1. Choose The Events Calendar as the app.

Ticket provider No Leave on Any provider to include RSVPs and ticket buyers, or narrow it to one.

Step 3: Add the "Add a subscriber to lists" action

  1. Click Add Action.

Step 4: Configure the action

Field Required What it does
Subscriber email Yes Insert the Attendee email token.
Lists Yes Pick one or more MailPoet lists to subscribe them to.
First name No Insert the Attendee name token. Only used when the subscriber is new to MailPoet.
Send the confirmation email No On by default. It only has an effect when sign-up confirmation is switched on in MailPoet. Until they confirm, the subscriber stays unconfirmed and receives no newsletters.
Do not send the welcome email No Off by default. Tick it to stop MailPoet scheduling its welcome email for the list.

Subscribed or unconfirmed?

Zapify cannot choose the new subscriber's status. MailPoet decides it from its own setting: with sign-up confirmation switched on (MailPoet → Settings → Sign-up Confirmation) new subscribers start Unconfirmed until they click the link in the confirmation email.

Step 5: Set the steps Live and save

Each trigger and action has its own Live / Off / Draft switch. A new automation starts as a Draft and does nothing until its steps are Live.

  1. Set the trigger and every action to Live.
  2. Click Save.

Set the automation live

Step 6: Test it

Register for the event with a test email address, then check MailPoet → Subscribers, or open Zapify → Logs to confirm the run.

Tokens you can use

Token What it holds
Attendee name / Attendee email Who registered or checked in.
Ticket name / Ticket ID Which ticket they hold.
Order ID The RSVP or order the attendee belongs to.
Ticket provider How they registered: RSVP, Tickets Commerce, WooCommerce, Easy Digital Downloads or PayPal (legacy).
Attendee custom fields Any extra questions you ask attendees (Event Tickets Plus), as a ready-to-read list.
Event title / Event URL The event and a link to it.
Event start / Event end When it begins and ends.
Venue name / Venue address Where it takes place.
Organizer name Who is running it.
Event ID / Attendee ID Numeric IDs, for advanced use.

Conclusion

With the An attendee registers for an event trigger and the Add a subscriber to lists action, every registration can grow your mailing list without exporting a spreadsheet. To thank them straight away, see sending an email when someone RSVPs.

FAQs

Is this free in Zapify?

No. Both the Events Calendar trigger and the MailPoet action need an active Zapify PRO licence.

Do I need Event Tickets as well as The Events Calendar?

Yes, for anything to do with attendees, RSVPs, check-ins and ticket orders. The Events Calendar only manages the events themselves; Event Tickets is the free companion plugin that adds tickets and RSVPs. Without it, those triggers and actions show as unavailable in the builder.

That depends on where you and your attendees are, and on what they agreed to. As a rule, an event registration alone is not agreement to a newsletter, so ask clearly with an opt-in box. This page is not legal advice.

Will it add the same person twice?

No. If the email is already in MailPoet, Zapify subscribes the existing subscriber to the list instead of creating another.

Can I add people to different lists for different events?

Yes. Create one automation per event and choose a different list in each.

Do I need to write any code?

No. Everything is configured visually in the Zapify builder.
