BuddyPress Automations
Add a User to a BuddyPress Group When a Gravity Forms Form Is Submitted
A "Join this group" or "Tell us your interests" form is a friendly way to sort members into the right corner of your community — and it works best when the sorting happens by itself. Zapify does this with the A form is submitted trigger (Gravity Forms) and the Add a user to a group action (BuddyPress): the moment the form is sent, the member is in the group.
What this automation does
The automation is one trigger plus one action:
- Trigger: A form is submitted (
GRAVITYFORMS_FORM_SUBMITTED, Gravity Forms) - Action: Add a user to a group (
BP_ADD_USER_TO_GROUP, BuddyPress)
When someone submits the Gravity Forms form you choose, Zapify adds their account to the BuddyPress group you specify. There is no invitation to accept and no request for an admin to approve.
Before you start
- Gravity Forms and BuddyPress must both be installed and active, with the User Groups component switched on in your BuddyPress settings. Zapify's BuddyPress integration is not available on sites running BuddyBoss Platform.
- You need a Gravity Forms form and the group the submitter should join.
- The person submitting must already have a WordPress account on your site. This automation adds an existing member to a group; it does not create the account.
The submitter needs a WordPress account
A group can only hold members with accounts. If the person is not logged in and does not match an account by email, there is nobody to add, and the log says no matching user was found. To create accounts from a form first, see create a WordPress user from a Gravity Forms submission.
How to build the automation
Step 1: Create a new automation
- In the WordPress admin, go to Zapify → Automations.
- Click Add New to open the builder.
- Name it clearly, such as Join the Photography group from the interest form.

Step 2: Add the "A form is submitted" trigger
- Click Add Trigger.
- Choose Gravity Forms as the app.
- Select the trigger A form is submitted.
- In the trigger's Form field, pick the specific form, for example Join a group.
Choosing a specific form is what makes every field on that form available as a token. If you leave the form on Any form, the automation runs for every Gravity Forms form, but only the general tokens are available.

Step 3: Add the "Add a user to a group" action
- Click Add Action.
- Choose BuddyPress as the app.
- Select Add a user to a group.

Step 4: Choose who gets added and where
| Field | Required | What it does |
|---|---|---|
| User | No | Leave empty to add the logged-in member who submitted the form. Or insert the token of your form's Email field to match an existing account by email address. |
| Group | Yes | The group to add them to. Pick it from the list. |
There are two ways to say who the member is:
- The form is only for logged-in members. Leave User empty. Zapify uses the logged-in person who submitted the form.
- Visitors type their email. Click the {} token button in User and insert the token for the form's email field. Zapify finds the account that uses that email address.
Step 5: Set the steps Live and save
- Set both the trigger and the action to Live.
- Click Save.

Tokens this action makes available
Later actions in the same automation can use these:
| Token | What it holds |
|---|---|
| User ID | The ID of the member who was added. |
| Group ID | The ID of the group. |
| Group name | The name of the group. |
How to test it
- Log in as a test member, open the page with your Gravity Forms form, and submit it.
- Open the group in BuddyPress and check its member list.
- If they were not added, open Zapify → Logs. The log says why, for example that no matching user was found, or that the member is banned from the group.
Conclusion
With the A form is submitted trigger and the Add a user to a group action, Zapify turns a Gravity Forms form into an instant group sign-up. Next, welcome them once they are in with send an email when a user joins a BuddyPress group.
FAQs
Does it work for visitors who are not logged in?
Only if their email matches an existing account. Insert the form's email field token in the User field and Zapify looks the account up by email. If no account matches, nobody is added and the log tells you.
What happens if the member is already in the group?
Zapify treats it as a success and logs that the member is already in the group. Nothing breaks, so a second submission is safe.
Can one form add people to different groups depending on their answer?
Yes. Use the dedicated Gravity Forms field-value trigger, which starts an automation only when a chosen field holds a specific answer. Build one automation per answer, each adding to a different group. See send an email when a Gravity Forms field value matches for how that trigger works.
Is this feature free?
Yes. Gravity Forms and BuddyPress are free Zapify integrations, and both the A form is submitted trigger and the Add a user to a group action are included in the free plan.
Do I need to write any code?
No. Everything is configured in the Zapify visual builder.
