Groundhogg Automations
How to Add a Groundhogg Contact Note When a WooCommerce Product Is Purchased
When someone calls or emails your team, the first question is "what did they buy?" Zapify can write that into the customer's Groundhogg record automatically. It uses the free A product is purchased trigger, Create or update a contact to make sure the contact exists, and Add a note to a contact to write the note. Groundhogg is a Zapify PRO integration.
What this automation does
The automation is one trigger plus two actions, in this order:
- Trigger: A product is purchased (
WC_PRODUCT_PURCHASED, WooCommerce) - Action 1: Create or update a contact (
GROUNDHOGG_UPSERT_CONTACT, Groundhogg) - Action 2: Add a note to a contact (
GROUNDHOGG_ADD_NOTE, Groundhogg)
Why two actions?
Add a note to a contact never creates a contact — if the customer is not in Groundhogg yet, the note action fails with a clear message rather than inventing a contact from a note. Putting Create or update a contact first guarantees the contact exists before the note is written.
PRO feature
Groundhogg is a Zapify PRO integration. The Groundhogg actions used in this automation needs an active Zapify PRO licence.
No Connection needed
Groundhogg runs on your own site rather than somebody else's server. There is no API key to paste and nothing to set up under Settings → Connections — the integration only needs Groundhogg installed and active.
Before you start
- WooCommerce and Groundhogg installed and active.
- The note text you want, such as the product name and order number.
How to build the automation
Step 1: Create a new automation
- In the WordPress admin, go to Zapify → Automations.
- Click Add New to open the builder.
- Name it clearly, such as Add a Groundhogg note for each purchase.

Step 2: Add the "A product is purchased" trigger
- Click Add Trigger.

- Choose WooCommerce as the app, then select A product is purchased.

- Pick the Product, or leave it on Any.
Step 3: Add the "Create or update a contact" action
- Click Add Action.

- Choose Groundhogg as the app.

- Select Create or update a contact.

Fill in Email with the Billing email token, and add the Billing first name and Billing last name tokens. Leave everything else empty.
Step 4: Add the "Add a note to a contact" action
- Click Add Action.

- Choose Groundhogg as the app.

- Select Add a note to a contact.

Step 5: Configure the note
| Field | Required | What it does |
|---|---|---|
| Note | Yes | The text to save, with tokens allowed. For example: Purchased {Product names} — order #{Order number}, total {Order total} {Currency}. Use the {} token button to insert each value. |
| Note type | No | Note (the default), Call, Email or Meeting. Choose Note for an order record. |
| Contact email | No | Insert the Billing email token so the note lands on the same contact the first action just created or updated. |
Basic formatting such as bold text and links is kept; scripts and other unsafe markup are stripped before the note is saved.
Step 6: Set the steps Live and save
Each trigger and action has its own Live / Off / Draft switch. A new automation starts as a Draft and does nothing until its steps are Live.
- Set the trigger and every action to Live.
- Click Save.
Make sure the Create or update a contact action sits above the note action — actions run in order.

Step 7: Test it
Place a test order and mark it as paid. Open the contact in Groundhogg → Contacts and look at its notes, or open Zapify → Logs to see both actions.
Action output tokens
| Action | Token | What it holds |
|---|---|---|
| Create or update a contact | Contact ID | The Groundhogg contact's ID. |
| Add a note to a contact | Contact ID | The contact the note was added to. |
| Add a note to a contact | Note ID | The ID of the saved note, when Groundhogg returns one. |
Conclusion
Chaining Create or update a contact and Add a note to a contact keeps a readable purchase history inside Groundhogg with no manual entry. To tag the buyer at the same time, add the tag to the first action — see adding a WooCommerce customer to Groundhogg.
FAQs
Is this free in Zapify?
The trigger is free. Both Groundhogg actions are part of the Groundhogg PRO integration and need an active Zapify PRO licence.
Why did the note action fail?
The most common reason is that the contact did not exist and the Create or update a contact action was missing, disabled, or placed below the note. Open Zapify → Logs to read the message.
Can I leave Contact email empty?
Only when the order belongs to a logged-in customer whose WordPress account already has a Groundhogg contact. For guest orders, always insert Billing email.
Can I add the note as a call or meeting?
Yes. Change Note type to Call or Meeting.
Do I need to write any code?
No. Everything is configured visually.
